Find out why an asset or a disposal you expected is not in the entry, and what to do about each case.
The report carries three blocks, and they differ in whether there is anything to fix in DepreciationPro. A fourth case is not blocked at all and is not listed, so it is worth knowing about separately.
Where this is in the app
Dashboard → open the return → Report tab → Report Template → Journal Entries
The banners and cards below all appear on that report, around the entry itself.
Assets that are not set up yet
An amber banner sits above the entry with the count, the money involved, and the assets themselves:
Excludes 3 assets not set up for journal entries with depreciation this period — not included in the entry below. Missing depreciation: $412.60.
Each asset in the list shows its own reason and links to the asset. A link at the bottom reads Fix account mappings on the GL Accounts tab.
On a single month the banner counts only assets with depreciation in that month. On the Full year view it drops the "with depreciation this period" wording and shows the full count.
To clear it, see Set up GL accounts for journal entries.
Assets with no GAAP book, which are not listed
An asset with no book record has no book depreciation, so there is nothing for it to contribute and it does not appear in the depreciation entry. It is not named in the amber banner above either. That banner is about account setup, and a bookless asset does not have an account problem.
This is the one exclusion the Journal Entries report does not spell out for you. Two other places do:
The GL Rollforward & Reconciliation report says so directly: "Accumulated depreciation excludes 10 assets with no book data (cost columns still include them; there is never a tax-basis fallback)."
If the asset was disposed this year, it is named in the attention block below, with the reason "No GAAP book data".
If an asset is missing from the entry and you cannot find it in the amber banner, check whether it has a GAAP book. See Set up a GAAP book on an asset.
Disposals you book in your own ledger
Some disposition kinds are not composed from the fields DepreciationPro tracks. These appear in a blue informational block, not a warning:
1 disposal this year is not included in these journal entries — DepreciationPro doesn't auto-generate entries for this disposition type.
No action is needed in DepreciationPro. Book the entry manually in your ledger — the figures you'll need are below.
The kinds in this block are like-kind exchange, involuntary conversion, casualty or theft, gift, installment sale, and dispositions recorded as Other. Each row names why, for example:
Like-kind exchange: the book entry requires the replacement asset at fair value, which is not tracked here
Each row then carries three figures read from the asset's book record, plus a closing line naming what your manual entry does with them:
Original cost, to credit against the cost account
Book accumulated depreciation through the disposal month, to debit against accumulated depreciation
Net book value
Those three figures appear only when the asset has a GAAP book. A disposal of this kind on an asset with no book still gets its row and its reason, but with no figures under it.
This block covers the whole tax year in every view, including single months, so a disposal you need to hand-book does not hide in a month you did not open.
Disposals that need attention
An amber block collects disposals with a cause you can fix, headed by the count:
Could not compose journal entries for tax year 2025 — 2 disposals need attention.
The first thing standing in the way is named per row, and each links to the asset. The six reasons, as they appear:
Marked as disposed but has no disposal date — add a disposal date to compose its entry
No GAAP book data — add a book to this asset to compose its disposal entry
The asset's cost GL account is missing, not classified as Asset (cost), or inactive
No valid accumulated depreciation account is linked on the asset's cost account
No gain/loss on disposal account is configured for this entity
This disposal has net proceeds but no proceeds clearing account is configured for this entity
Only the first thing blocking a disposal is named. Fix it and the next one, if there is one, appears.
Like the blue block, this one is scoped to the whole tax year in every view.
A one-line version of both disposal blocks also sits under the report controls, beside the other export warnings, so you see it before you export rather than after:
1 disposal this year is not included in this file — see the report below for why and for the figures to book it manually.
No fallbacks
An asset with no book data is never given its tax numbers instead, and one whose accounts are not ready is never posted to a default account. DepreciationPro leaves the gap rather than filling it.
