History, lineage, attachments, and notes on an asset

Written by Andy

Around the form, the asset page carries its record of itself. Where it came from, what has been done to it, and whatever you have attached.

Where this is in the app

Dashboard → open the return → Assets tab → open the asset

Everything here is on the asset's own page: the lineage strips above the form, and the cards in the right column.

The lineage strips, at the top

These are the ones people do not expect. They sit above the form, and only when they apply. You never see an empty one.

Split Lineage appears when the asset is part of a live split.

  • On a piece, it reads "Split from" with a link back to the asset it came out of.

  • On the original, it reads "Split into 3 assets" and links to each piece, with an Undo split button underneath. Where undo is blocked, the button is greyed and the reasons are listed. See Undo a split.

§1.168(i)-6 Replacement Lineage appears when the asset is part of an exchange.

  • On a replacement asset, it reads "§1.168(i)-6 continuation of" or "excess / boot of", linking to the relinquished asset.

  • On the relinquished asset, it reads "Replaced by 2 assets", each tagged continuation or excess / boot.

Both strips link in each direction, so a piece or a leg found on its own leads back to the record it came from. See Record a like-kind exchange.

Audit Trail and the change history

The Audit Trail card in the right column is deliberately thin. It shows the asset's ID, the date it was created, and a View history link.

The link opens Change history, which is where the detail is. One entry per change, newest first, each with:

  • A badge saying what happened: Created, Edited, Disposed, Deleted, Election, Split, From Split, or Split Undone

  • Who made the change and when

  • A table of the fields that moved, old value to new value

  • For an election change, the old and new values and any reason recorded

When an asset has two or more versions, a Compare Versions panel at the top lets you pick any two and see the difference between them.

State Adjustments

This card appears only when the entity has at least one state enabled. It shows one block per state the asset is allocated to, with the federal-to-state differences: bonus add-back and recovery, §179 add-back, the MACRS adjustment, and the net.

Rows appear only when they carry a figure, so a state with no differences shows just the net line.

Before a calculation has run you get: "No state adjustments calculated. Run depreciation calculation to generate state adjustments."

The State Adjustments card, subtitled Federal-to-state differences, per state this asset is allocated to, showing the line No state adjustments calculated. Run depreciation calculation to generate state adjustments.

Attachments

Upload invoices, bills of sale, or photos against the asset. Click Upload file.

  • Maximum 10 MB per file

  • Accepted: .jpg, .jpeg, .png, .gif, .webp, .pdf, .xlsx, .xls, .csv

The card header carries a count. Click a file name to download it. The bin icon deletes it, with a confirmation step first.

Attachments copy forward on a year-end rollover. Next year's asset carries the same files.

Attachments do not copy to the pieces of a split. They stay on the original record, along with notes and annotations. See What carries over to each piece of a split.

Notes

Under Attachments, a free-text Notes card, up to 2,000 characters per note, with a count on the card header.

The Attachments card with an Upload file drop zone marked Max 10MB and the line No attachments. Upload receipts, invoices, or photos, and under it the Notes card with an Add a note box, a 0/2000 counter, an Add note button and the line No notes yet. Add a note above. Use it for the reasoning you will want back in a year.

Like attachments, notes stay on the original asset through a split.
